Questions to Ask Your Caterer

Besides your location, the food for your wedding weekend will probably consume the largest portion of your wedding budget and be one of the most important factors in ensuring a successful event. Great food service will leave a lasting impression on your guests whether you are having an intimate affair or really big blowout. 

A lot of things come into play when selecting a caterer, so don’t be afraid to ask as many questions as you need to. Whether your potential caterer works at your event facility or you’re hiring them independently, here are some vital questions that are often overlooked:
    1. How many weddings do you do per year, and how long have you been in business?
    2. Have you done any events at my location before
    3. Are you licensed and insured?
    4. Will you provide a banquet manager to coordinate the meal service or an on-site coordinator who will run the entire event?
    5. Do we have to work off a pre-set menu or can you create a custom menu for our event? If I have a special dish I’d like served, would you accommodate that?
    6. Can you accommodate dietary restrictions, such as kosher, vegan, etc.?
    7. What décor do you provide for appetizer stations or buffet tables?
    8. What’s the difference in cost between passed appetizers and appetizer stations? What’s the price difference between a buffet and a sit-down meal? If we have a buffet, are there any stations that cost extra, like a carving station? 
    9. How much do you charge for children’s meals?
    10. How much do you charge for vendor meals?
    11. Do you do food tastings and is there an extra charge for this?
    12. If there is leftover food from my event, can we have it wrapped up for guests to take home or have it delivered to a local shelter?
    13. What is the last date by which I have to give you a final guaranteed guest count?
    14. What is your payment policy? Do you accept credit cards?
    15. How much of a deposit is required to hold my date? When is the final payment due?

    Reception Menu

    We say this all the time, but food is the most important aspect of any successful wedding event. Guests come ready to eat and you want to make sure to have enough options available to satisfy all your guests, especially when your guest count is over 300. It's not easy to find a menu that will include items every single guests will enjoy. This is why variety is super important.

    For cocktail hour we always suggest doing both passed appetizers and stations, offer as many vegetarian options as non-vegetarian so that no one is left out.

    Guests are pretty full after cocktail hour, but after a few hours of dancing they will be ready for a full meal, make sure to include salad, bread, rice as well as vegetarian and non vegetarian options.

    Cocktail Hour


    Many couples overlook details for cocktail hour. Their main focus is normally the food, which is the main thing, but below are a list of other items to make sure you cover:

    1. Music- Background music is key for your cocktail hour, whether it be from your dj, live musician or trio.
    2. Seating- We recommend at least 10 high tables and 10 low tables with about 4-5 chairs. The count of tables can increase depending on the size of your event. Keep it simple and do 10 and 10 or 15 highs and 15 lows. We all know that elderly guests will want to sit down.
    3. Placecards- You will need a table for your place cards and they should be set up in alphabetical order by last name not by table number. We recommend 1 72" round table but depending on how large the placecards are, you may need 2 6' tables next to the round table.
    4. Card box- Some couples choose to have their card box available during cocktail hour as well as during the reception. This can be placed with the guest book or on its own separate table.
    5. Guest Book- Many couples choose to have a guest book of some sort, whether it be a traditional book or a modern twist, such as a wine bottle or wishing bowl.
    6. Centerpieces- Don’t forget your cocktail tables and placecard table arrangements/ flowers. The cocktail tables can have votive candles, a floating flower or floating candle in small bowl. The placecard table arrangement can be as big or small as you like but it should get some décor as well. You just don't want these tables to be empty.

    Table numbers can really be a unique way to set the mood on your special day. There is a table number design for any wedding. Your wedding can have specific table number designs based on you and your significant other as a couple. For example, naming each table after a food or candy that you as a couple like. Also, you can name tables after cities that you have been to together. Also, your table numbers can simply set the mood you want the wedding to take on. Either way there are many designs and style that will make you day even more beautiful.

    The Perfect Menu

    The word “lavish” best describes every aspect of an Indian wedding. From the detailed gowns to the elegant, rich décor and, especially, the food! Our bride's are always asking us how much food to get and especially what items will be the guests favorites. Here are our suggestions for the perfect menu:

    Cocktail Hour:
    We suggest having 2-3 stations and anywhere from 5-8 passed h'orderves. You also want to keep a good mix of vegetarian and non vegetarian dishes. Here are some of our favorites:

    Stations:
    Kathi Roll Station

    Passed H'orderves:
    Chicken Pakora
    Vegetable Samosa

    Tandoori Stuffed Mushrooms

    Main Course:
    Again make sure to have a good mix of vegetarian and non-vegetarian items. We suggest having 1 chicken, 1 fish, 1 lamb, 1 paneer, a salad bar, 1 rice and a mix of breads.
